DA-IICT Data Privacy Policy

Introduction:

This policy outlines the guidelines and procedures for the confidentiality and protection of Alumni data at DA-IICT, Gandhinagar. Alumni data includes any information related to former students of the institution, collected during their time as students and afterward. Protecting this data is essential to maintain trust, uphold privacy standards, and comply with legal regulations.

Policy Statements:

1. Alumni Data Collection and Use:

  • Personal Information, which includes information through which you may be personally identified, such as name, postal addresses, email addresses, social media handles, telephone numbers, companies you may be associated with, education, employment history, or other addresses at which you may prefer to receive communications from or on behalf of DA-IICT, Gandhinagar.
  • We do NOT collect information of your family members including children unless they are also our alumni.
  • DA-IICT, Gandhinagar collects Alumni data in two ways: (1) Information you provide directly; and (2) Information we receive from your use of our Services.
    Information is collected when you:
    • Send DA-IICT any electronic communication (including via email or submitting through any online form of our website or by responding to any other application/form sent to you by our legitimate email account);
    • Enter contests run by us from time-to-time;
    • Submit online applications and forms to DA-IICT; and
    • Subscribe to our newsletter.
  • Alumni data collected by DA-IICT, Gandhinagar shall be limited to information necessary for alumni relations, fundraising activities, and institutional research.
  • The institution will inform alumni about the purposes for which their data is collected and how it will be used.
  • Primarily we use information collected about you or that you provide to us to:
    • Provide Services to you;
    • Communicate and provide additional information that may be of interest to you about DA-IICT, Gandhinagar, and other relevant materials;
    • Inviting you for or informing you about the Alumni Day
    • Administer contests or any promotional activities or events sponsored by us; and
    • Manage our business needs, such as alumni profile related analytics, compliance with the law or reporting obligation.
  • If you do not want to be on our mailing list, you can opt out anytime by sending an email to alumni_office[at]daiict[dot]ac[dot]in or clicking on the "unsubscribe" button on our communications. From time to time, we may use your Personal Information to send important notices to you regarding material changes to our terms, conditions, and policies or purchased services which you may not opt out of receiving.

2. Confidentiality and Security:

  • Alumni data shall be treated as confidential information and will be protected against unauthorized access, disclosure, or use.
  • Access to alumni data will be restricted to authorized personnel who require such information to perform their duties.
  • When we provide the Services to you, your data is stored on our local computers and servers. We do not keep/store these data on any cloud server. In some cases, the data may be accessible to people involved with the operation of the Alumni Office. We do not share these data with any external parties for marketing or sales purpose.
  • If you do not agree with our policies and practices, your choice is not to use our Services. By accessing or using DA-IICT’s Alumni webpage or Services, you agree to this Policy. This Policy may change from time to time (see Changes to our Privacy Policy). You will be provided notice of this change through our webpage, and continuing to use the Services after receiving notice will constitute acceptance of the changes.

3. Data Sharing:

  • We do NOT share, sell, rent, or trade Alumni data with third parties outside of DA-IICT, Gandhinagar without explicit consent from the alumni, unless required by law.
  • Agreements with third parties handling alumni data on behalf of the institution shall include provisions for data confidentiality and security.
  • We may disclose your Personal Information
    • To comply with any court order, law, or legal process, including to respond to any government or regulatory request;
    • To enforce or apply our Terms of Services and other agreements, including for billing and collection purposes; and
    • If we believe disclosure is necessary or appropriate to protect the rights, property, or safety of DA-IICT, Gandhinagar, our other stakeholders, or others. This includes exchanging information with other companies and organizations for the purposes of fraud protection and credit risk reduction.

4. Retention and Disposal:

  • Alumni data will be retained only for as long as necessary to fulfill the purposes outlined at the time of collection, or as required by law or institutional policies.
  • Data that is no longer required will be securely disposed of in accordance with established data retention and disposal procedures.

5. Access and Correction:

  • Alumni shall have the right to access their own data held by the institution and request corrections or updates if inaccuracies are identified.
  • Requests for access or corrections should be directed to the designated privacy officer or administrative contact.

6. Training and Compliance:

  • Personnel handling alumni data shall receive training on data protection principles and their responsibilities under this policy.
  • Compliance with this policy shall be regularly reviewed and assessed to ensure ongoing adherence to data protection standards.

7. Implementation:

  • This policy shall be communicated to all relevant personnel and stakeholders within DA-IICT, Gandhinagar.
  • A designated privacy officer or committee shall oversee the implementation and enforcement of this policy.
  • DA-IICT, Gandhinagar reserves the right to update this Policy from time to time. We will notify you of any changes and/or modifications to the Policy by updating the “Last Modified” date on this Policy, through our website, or as required by law.
  • Updates or revisions to this policy may be made as necessary to reflect changes in legislation, technology, or institutional practices.

Disclaimer:

  • This Policy does not apply to information collected by any third party, including through any application or content (including advertising) that may link to or be accessible from or on DA-IICT, Gandhinagar.
  • This policy has been constituted after consulting data privacy law experts in order to understand the current position of the newly enacted data privacy law of Govt. of India namely Digital Personal Data Protection (DRDP) Act, 2023 and related rules. We are advised that rules under DPDP Act may be announced shortly. Our privacy policy may change as and when rules under the said Act will come in effect.

By adhering to this policy, DA-IICT, Gandhinagar demonstrates its commitment to respecting the privacy rights of its alumni while utilizing alumni data responsibly for legitimate institutional purposes.

Review Date: This policy shall be reviewed annually to ensure its effectiveness and relevance.
