JD - Executive Assistant - Director, School of Technology
Dhirubhai Ambani University (DAU) is looking for a proactive and highly organized executive assistant to provide comprehensive administrative support to the Director, School of Technology. The ideal candidate should possess significant experience managing various administrative and executive support duties.
Responsibilities:
- Serve as a key liaison between the Director’s office and the Institutes leadership, Governing Board, statutory bodies, and external stakeholders.
- Support the Director in the execution, development and monitoring of institutional strategies and high-priority initiatives.
- Support Director in preparing high-quality speeches, reports, presentations, minutes of the meetings and official communications.
- Ensure alignment of the Director directives with the Institutes’ strategic objectives, academic goals, and policy frameworks.
- Manage and maintain the Director’s calendar, schedule, and appointments with efficiency and confidentiality.
- Plan and oversee logistics for official meetings, visits, high-level delegations, and institutional events coordinated through the Director’s office.
- Handle sensitive correspondence and confidential documentation with discretion and integrity.
- Facilitate the preparation and coordination of agendas, documentation, and follow-up actions for meetings of the Board of Governors, Academic Council, and other statutory committees.
- Ensure timely compliance with institutional policies, regulatory requirements, and documentation standards.
- Track the implementation of key decisions and strategic resolutions taken by the leadership and governing bodies.
- Liaise with various administrative and academic departments’ employees to ensure smooth execution of institutional priorities and operational directives issued by the Director’s office.
- Maintain comprehensive records of all meetings, events, interviews, and strategic decisions conducted or facilitated by the Director General’s office.
- Monitor progress of ongoing institutional activities, flag concerns, and enable proactive resolution in coordination with relevant departments.
Qualification, Experience & Skill Requirements:
- A Graduate degree in any discipline.
- A minimum of 10 years of professional experience with demonstrable evidence of exceptional performance and fit with the current position.
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong communication skills, both written and verbal.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other office productivity tools.
